Office Admin Intern

This role is designed as a structured Intern-to-Full-time pathway for candidates who want to develop long-term capabilities in administration, operations and executive assistance.

We are looking for someone who treats this role as a serious, long-term job, not a temporary. Commitment, reliability, and a strong work ethic are essential.

The successful candidate will take ownership of daily office administration & logistics, task coordination, and routine support for internal office work. This includes day-to-day duties such as receiving deliveries, handling basic paperwork, and assisting with general HR & office-related matters as needed.

Job Description

SCOPE OF RESPONSIBILITIES

A. Office Administration

  • Manage day-to-day office logistics to ensure the workspace is clean, tidy, organised, and orderly at all times.

  • Track office supplies, stationery, equipment and coordinate purchasing or repairs with vendors.

  • Coordinate cleaning, maintenance, and occasional repair work.

  • Prepare meeting rooms, materials, and basic setup for internal activities.

  • Support internal office procedures and ensure consistent operational standards.

B. Assistant to the Executive Director

  • Schedule meetings, manage calendars, and coordinate appointments.

  • Take meeting minutes, summarise discussions, and track follow-up actions.

  • Prepare documents, reports, and materials as requested.

  • Handle ad-hoc tasks assigned by the Executive Director.

  • Liaise with partners, suppliers, and internal teams when necessary.

  • Provide on-site support for the Executive Director during internal or external live events when required.

C. Additional Tasks

  • Content creation (writing, simple social posts, basic visuals).

  • Internal communication support or small project coordination.

  • Data compilation or basic analysis if applicable.

REQUIREMENTS

1. Education & Background

  • Bachelor’s degree in Business Administration, Management, Economics, Social Sciences, or related fields.

  • Experience in administrative or office support roles is a plus.

2. Skills & Competencies

  • English: Able to read and comprehend documents & communication (IELTS ~6.5+ or equivalent).

  • Proficient in office tools (Word, Excel, PowerPoint), familiar with Google Drive/Docs, Notion.

  • Familiar with AI tools (ChatGPT, Claude AI, etc.) for search, summarization, and outlining tasks.

  • High accuracy, confidentiality, and responsibility.

  • Ability to prioritise tasks and work independently in a dynamic environment.

3. Attitude & Work Ethics (Must-Have)

  • Fast learner, open to feedback, and committed to continuous improvement.

  • Highly detail-oriented, and meticulous.

  • Highly observant, especially regarding office cleanliness, orderliness, and operational issues.

  • Eager to learn, adaptable, and open to continuous improvement.

  • Proactive, reliable, disciplined in executing tasks and able to take initiative without constant supervision.

  • Professional, respectful, and service-minded when interacting with colleagues and external partners.

  • Longer-term commitment is highly welcomed.
